The problem

Credentialing photos are a small task that breaks a big workflow.

Medical-staff offices and provider relations teams say the same thing: the photo step is disproportionate to its importance. Three pain points:

Credentialing photo

Credentialing photo specs are tight and unforgiving

ABMS, ABMS sub-board, state-board, and most hospital directories all have specific photo dimensions, head-position, and background requirements. Manual capture by a clinic admin gets rejected - and the file sits stuck while the provider's privileging clock ticks.

Clinical staff

Clinical staff schedules are impossible

A staff photographer can't actually book a cardiologist between cases. The result is photos taken in scrubs, in a hallway, on a phone - and a credentialing file that doesn't pass review.

Provider directories

Provider directories look mismatched

When some providers have a studio shot from 2017 and others have a phone selfie from yesterday, the hospital provider directory looks unprofessional to patients deciding which doctor to see.

The solution

Meet Studio Pod: a credentialing-grade studio your clinical staff can actually use.

Install an S1 or S3 Studio Pod in your medical-staff office, employee health area, or main hospital lobby. Providers stop in between cases, capture a 5-minute session, and the credentialing-spec photo lands in their inbox + the provider relations file before they walk out.

  • ABMS / Doximity / Healthgrades-ready output. Built-in presets meet the dimensional, background, and head-position requirements of every major credentialing system + provider directory. Capture once - the system outputs the right file for whichever destination needs it.
  • Encrypted US-hosted storage. BAA available.. Photos are encrypted at rest on US-based servers with role-based access. We sign a Business Associate Agreement on request for HIPAA-covered deployments. Photos can be auto-deleted from our servers after delivery if your privacy policy requires it.
  • Self-serve fits clinical schedules. No appointment, no waiting room. Providers walk up between cases and shoot in five minutes. No more chasing a photographer-and-physician calendar intersection that never happens.
  • Consistent provider directory. Brand-locked backdrop, lighting, and crop produce a uniform look across every provider on the hospital site. Patients comparing doctors see a directory that reflects a single, professional standard.
  • Badge photos + credentialing in one shot. The same session can output a directory-spec photo, a badge-print photo, and a passport-spec photo for state-board credentialing - all from one capture, sized and cropped automatically.
  • Scales across hospital networks. 300,000+ portraits delivered through the Studio Pod stack. The same hardware that runs in one clinic runs across a 20-hospital network. Standardized output across every facility.
FAQ

Common questions, answered.

Will Studio Pod sign a BAA?

Yes. Studio Pod signs a Business Associate Agreement for HIPAA-covered deployments. Photos are encrypted at rest on US-based servers; access is role-based and audit-logged. Auto-delete-after-delivery is available if your privacy policy requires it.

Which credentialing photo specs are supported?

ABMS, ABMS sub-board, most state medical boards, Doximity, Healthgrades, DocFinder, US passport (for DEA / federal credentialing), and most hospital-internal provider-directory specs. Custom dimensions for any specialty board can be added in software.

Does Studio Pod integrate with our credentialing software?

Yes. API access ships with enterprise deployments - photos can be auto-named to provider NPI, cropped to spec, and pushed to credentialing systems via REST API or SFTP. We have integration patterns for symplr, Modio Health, Echo, MD-Staff, and most major credentialing platforms.

Can it also handle badge photos for clinical staff?

Yes - one capture, multiple outputs. The same session produces a credentialing-spec photo, a badge-print photo (HID / Lenel / AMAG-ready), and any other directory specs needed.

How long does a provider session take?

Five minutes per provider. The on-screen flow walks them through 15 frames; they pick the one they like; it routes to credentialing + provider relations + their inbox simultaneously.

Where in the hospital does the pod live?

Most networks install in the medical-staff office or employee health suite. Some put it in the main lobby (visible to patients, signals investment). The S1 fits a 5×5 ft footprint; the S3 fits a 9×9 ft footprint. Both run on a standard 110V outlet.
